Online Meeting Policy

Safeguarding Rules for Calls

  •  A minimum of two DBS-checked leaders to be present at any online meeting. Any meeting with too few leaders present must be ended within 5 minutes of the deficiency arising. 

  •  No one (adult or young person) is to join a meeting from their bedroom. Public rooms (living room, kitchen, dining room, etc) only.

  • Parents of young people should be in a position to oversee their young person’s activity but do not need to participate in the meeting. 

  • Parent permission is required for young people to participate.

  • Meetings to be at times published in the timetable only.

  • One of the leaders present to be designated to monitor continuously who is present in the online meeting and remove who should not be there. 

  •  Meetings cannot be recorded.

  • Video feeds are not mandatory.

  • Care should be taken to ensure that nothing in view of any camera is inappropriate for the young people attending. Remember too that, unlike in face to face meetings, younger siblings may be present.

Maintaining Platform Security

As well as safeguarding procedures for online meetings set out above, it is, unfortunately necessary to take steps to protect the online meeting space itself from unwanted interference. The steps identified here refer specifically to Zoom.

  • Never use the personal meeting ID, instead allow Zoom to create a random m number for each meeting.

  • Add a meeting password.

  • Set screen sharing to “host only”.

  • Disable “join before host”.

  • Disable “allow participants to re-join”.

  • Set chat to “Participants can chat to: host only”

Meeting Behaviour Guidelines

These guidelines are intended to promote the smooth running of meetings and to ensure that young people have the best possible experience. 

  • All attendees (leaders and young people) must be in uniform as if for a normal section meeting.

  • Participants should not shout to be heard but should wait their turn.

  • Patience is required in turn taking to speak. Young people in particular should be encouraged to give others a chance to speak. Muting of participants may be necessary to ensure this.

  • Others present in the same room but not participating in the meeting must act appropriately (respectful, dressed, etc).

  • Attendees should join the meeting on time

  • Expectations for behaviour should be in line with normal section meetings.
